Event Scheduling & Room Reservations

Follow the steps below for assistance with room booking and event promotions. Completing these steps will help ensure that your event runs smoothly and that Manning CICS staff can best support you. 

1. Check the event planning calendar to ensure there are no conflicts that may compete for space or your event's attendance.  Note: This calendar includes large college events and does not show all meeting room reservations. 

2. Complete the room reservation form. Note: submitting this form implies that you are accepting the usage guidelines posted below, along with the full conference room guidelines. 

3. Promote your event by submitting it to the CICS website events calendar  or submitting a digital sign to display in our buildings. 

Conference Room Information 

Room Reservations/Cancellations

  • The CICS Dean and Chair's Office has priority over the use of the rooms.
  • Conference room requests will be processed during normal business hours and should be put in a minimum of two business days before the event. For colloquium rooms, we recommend putting in requests at least three weeks from the event date.
  • Rooms are requestable by faculty, staff, and students from Manning CICS.
  • If a Manning CICS community member is working with an outside group to reserve an internal room, that community member is responsible for all aspects of the reservation and must be present for the entire reservation.
  • Requests will receive notification of availability within 2 business days. Please do not contact room-reservations [at] cs [dot] umass [dot] edu (room-reservations[at]cs[dot]umass[dot]edu) until 48 hours have elapsed.
  • Reservations are accepted a maximum of six months prior to an event.
  • To cancel a room that has been reserved, contact room-reservations [at] cs [dot] umass [dot] edu (room-reservations[at]cs[dot]umass[dot]edu) in advance of the meeting time so that we can make the space available for other community members.

Guidelines for Use

  • Conference and colloquium rooms may not be used without a reservation.
  • Tables must not be moved without permission.
  • Food and drink are only allowed in our larger conference and colloquium rooms: CS 150/151, A112, A311, A215, E144, E239, E300, E400.
  • At the end of any room reservation, all doors must be shut and locked, all trash must be disposed of in hallway trash cans, any dirty tables must be wiped down, chairs must be returned to their original position and pushed in neatly, and all room technology must be turned off.
  • Use of Manning CICS conference rooms is subject to change. People and groups in violation of our room policies will lose access to the room booking system.

Key Access

  • If a key needs to be signed out for a specific room (for after-hours access, e.g.), please have the meeting organizer come to CSCF in the CICS building, room CS126, during normal business hours.
