Tent Reservations

Tent Reservations/Cancellations

  • Reserve a tent for a meeting by using the form at https://www.cics.umass.edu/reservation
  • The CICS Dean and Chair's Office has priority over the use of the tents.
  • Reservation requests will be processed during normal business hours.
  • To cancel a tent reservation, contact room-reservations [at] cs.umass.edu in advance of the meeting time.
  • To check on your reservation or to see when the tent is available, use the calendar at (insert calendar link) to view the tent schedule.

Meeting Supplies

  • For tented meetings, attendees may check out chairs, a portable whiteboard, sanitation supplies, and markers in the CS Building hallway near the vending machines and the restrooms. The meeting organizer will be given a code to a locked cabinet for contactless delivery of small supplies.
  • To find the correct location, look for the building door to the right of the tents when facing the building.  It has a key card reader next to  the door handle and a bright, pink star on the door. 
  • You must have building access through your UMass ID in order to enter the CS hallway. If you have any issues with building access, please contact CSCF during normal business hours at system [at] cs.umass.edu
  • Attendees are responsible for bringing back and sanitizing any equipment they utilized during their meeting. Cleaning products for sanitation are provided in the hallway cabinet. 
  • Do not remove tables, chairs, or other supplies from any other room.


Social Distancing and Capacity Limits

  • Proper face coverings are required for all tent meetings, except where an individual is unable to wear a face covering due to a medical condition or disability.
  • All attendees are required to maintain six feet of social distance at all times. Chairs for your meeting must be arranged to also follow these guidelines.
  • Attendees should avoid physical contact like handshakes and hugs.
  • Each 20’ x 40’ tent can hold no more than 15 people at a time while maintaining proper social distance. Do not plan meetings that are larger than this capacity.


Cleanup and Hygiene Protocols

  • Handwashing facilities and restrooms are available on site in the CS hallway restroom, including soap and running water. You must have building access through your UMass ID in order to use the facilities. If you do not have access and believe you should, please contact CSCF. 
  • Only one person should be in a restroom at any time. 
  • Hand sanitizer and cleaning products are also available for checkout in the CS Hallway. Meeting organizers should wipe down their tables and chairs before and after their meetings.
  • When in doubt, look at the posted signs for hygiene guidelines and always err on the side of caution.
  • When your meeting is over, return your clean chairs and any other checked out supplies to the CS Hallway where they were retrieved.
